Booking software is usually chosen for operations: calendars, waivers, staff schedules, payments. Those matter. But the same software also decides whether your ads can see bookings, whether a visitor on a phone finishes checkout, and whether you own the email list you will market to for years. Choose it with marketing in the room.
Owners are actively shopping
In Google Keyword Planner data for the US (pulled October 2026), "escape room software" averages about 110 searches a month and "escape room booking software" about 30, with top-of-page bids for the booking software term running from roughly $10 to $66. Software vendors pay a lot for those clicks, which tells you how valuable a switching customer is to them. Use that leverage: ask hard questions before you sign.
Check 1: Does it track bookings in GA4?
You need a purchase event, with the booking value, sent to GA4 when a booking completes. Ask the vendor:
- Do you send GA4 events natively, or do I have to set them up through Google Tag Manager?
- Which events do you send (page views, start of checkout, purchase), and does the purchase include value and currency? GA4's recommended events include a purchase event, and its event reference lists value and currency as its parameters.
- Where is your current setup guide?
Vendors document this differently. FareHarbor has a GA4 setup guide, Bookeo documents a GA4 and Google Ads integration, and Resova uses Google Tag Manager. Whatever you are considering, read the vendor's own current article, not a third-party summary.
Check 2: Does the booking keep its source?
Many booking systems run on their own domain or inside an iframe. If the visitor's session breaks when they move from your site to the booking widget, GA4 credits the booking to the vendor's domain instead of to the ad or search that brought them. Ask:
- Does the widget run on my domain, a subdomain, or yours?
- Do you support GA4 cross-domain measurement, which passes a "_gl" parameter so the visitor keeps the same ID?
- Which domain should I add to GA4's list of unwanted referrals?
Then test it: click your own ad, book, and see what source GA4 records.
Check 3: Can Google Ads and Meta see the booking?
- Google Ads: either import the GA4 purchase key event or place the Google Ads conversion tag on the confirmation step with the booking value. Ask whether the software supports enhanced conversions, which match bookings using a hashed customer email.
- Meta: ask whether the software sends a Purchase event to the Meta Pixel and supports the Conversions API, which sends events from your server as well as the browser.
- TikTok: if you advertise there, ask about the TikTok Pixel.
Without these, your ad platforms optimize for clicks instead of bookings. Our conversion tracking guide shows how to test each one.
Check 4: Is checkout fast and simple on a phone?
Book a test session on your phone, on cellular, in every system you are considering. Count the screens and fields. The Baymard Institute's US checkout research shows what drives people away: among US shoppers who abandoned a checkout for a reason other than "just browsing", 40% cited extra costs, 18% being forced to create an account, and 17% a checkout that was too long or complicated.
So look for:
- Live availability shown before any personal details are asked.
- Full price, including fees, visible early.
- Guest checkout, with no forced account.
- Only the fields you need: name, email, phone, players, payment.
- Fast loading. Check the booking page with PageSpeed Insights against Google's Core Web Vitals thresholds (LCP 2.5 seconds or less, INP 200 milliseconds or less, CLS 0.1 or less).
- Wallet payments if your customers use them.
Check 5: Do you own your customer data?
Your email list is a marketing asset you will use for years. Ask:
- Can I export all customers, bookings, and marketing consents at any time, in a standard format?
- Does the booking flow include a clear marketing opt-in, separate from the booking confirmation?
- Does it connect to my email platform, or can I export to it?
- If I leave, what happens to my data?
Email marketing also has rules: the FTC's CAN-SPAM guide requires a working opt-out honored within 10 business days, so the opt-in and opt-out need to sync with your email tool. Our email marketing guide covers what to send.
Check 6: Gift cards, packages and promo codes
Marketing needs flexible products:
- Gift cards sold as experiences, delivered instantly by email, with a scheduled send date and simple redemption (gift card guide).
- Packages for birthdays, corporate events, and date nights, with deposits.
- Promo codes you can fence by day, time, room, and group size, so a weekday offer cannot be used on Saturday night (Groupon and deals guide).
- Per-source codes or links so you can tell which channel produced which booking.
Check 7: Waivers, minors and reminders
- Online waivers signed before arrival, with parents signing for minors.
- Reminder emails or texts before the game, which reduce no-shows and late arrivals.
- A post-visit email with a review link, sent to everyone the same way.
Check 8: Reports you will actually use
You want to see bookings and revenue by room, by day and time slot, by promo code, and by source. Ask for a demo of the reports, not just the calendar.
Check 9: Pricing, support and switching costs
The monthly fee is only part of the cost. Ask:
- Is pricing a flat subscription, a per-booking fee, or a fee charged to the customer at checkout? A customer-paid booking fee shows up at the last step, which is exactly the surprise cost that drives abandonment.
- What does it cost to add a room, a location, or a staff user?
- How do I reach support on a Saturday night, when bookings and problems actually happen?
- What does migration involve: future bookings, gift card balances, customer history, and waivers?
- How long is the contract, and what is the notice period?
A simple scoring sheet
Score each system from 0 to 2 on each check: tracking in GA4, source kept across domains, Google Ads and Meta purchase events, mobile checkout, data ownership, gift cards and promo codes, waivers and reminders, reports, and pricing and support. Weight the tracking and mobile checks double: they decide whether your ads and your visitors can actually complete the loop. The system with the best weighted score is usually the right one, even if its calendar screen is less pretty.
Questions to ask on every demo
- 1Show me a test booking appearing in GA4 with its value and the right source.
- 2Show me the Google Ads and Meta setup for purchase events.
- 3Show me checkout on a phone.
- 4Show me a customer export with marketing consent.
- 5Show me how a fenced promo code works.
- 6Show me gift card purchase and redemption.
- 7Show me the reports by source and by time slot.
If you already have software
You do not need to switch to fix most problems. Run the checks on your current system: test tracking, test mobile checkout, export your customers. Fix what you can with the vendor's own setup guides, and switch only if a key piece is impossible. Our website conversion checklist covers the rest of the booking path.
